Alternate Agency Manager

Job Summary:

In the absence of the Agency Manager, the person in this position is responsible for the day-to-day operations of the PJS Care Services Agency. This includes, when necessary, supervision of services provided by the Agency and overseeing the placement of Employees. The Alternate Agency Manager will provide professional expertise to ensure the agency is in compliance with applicable federal, state and local laws and will be responsible for correspondence with the Illinois Department of Public Health (IDPH) particularly as it relates to obtaining and retaining licensure as a Home Nursing and Home Services Agency. This person will assist the Agency Manager to develop and implement operating policies and procedures for the agency and continually monitor their use and ensure their applicability. This person, in consultation with the Agency Manager, Nurse Supervisor and Caregiver Supervisor, may, when needed, be responsible for supervising the provision of Client Care as well as addressing concerns from Clients and Employees as they arise. Be always mindful to assist the Agency Manager towards ensuring the smooth day to day functioning of the Agency. This person will need to maintain a general knowledge of the Accounting and Regulatory areas of the Agencies' operations so as to assume full oversite, should the need arise.

 

Requirements:

  • Accounting Background preferable

  • Ability to comprehend and comply with Regulatory information

  • Strong networking, presentation, and follow-up skills.

  • Excellent communication & listening skills.

  • Ability to work independently and organize multiple tasks. Hospital and/or home care experience desirable

  • Customer Service experience desirable

 

Responsibilities Include:

  • Ensuring the Agency is in compliance with applicable Federal, State
    and Local laws

  • Filing required forms with Federal, State and Local Agencies

  • Maintaining and becoming familiar with the rules of the IDPH as they relate to Home Nursing Agencies and Home Services Agencies

  • Ensuring the Agency is in compliance with the rules of the lDPH

  • Submitting required forms and reports to the IDPH

  • Working towards obtaining and retaining Home Nursing and Home Services Agency Licensure in compliance with the IDPH

  • Ensuring that reports and records required by the IDPH are completed, maintained and submitted

  • Familiarizing employees and contractual service providers with the regulations of the IDPH and making relevant information available through providing copies

  • Working in consultation with the Nurse Supervisor and Caregiver Supervisor to set and monitor Policies and Procedures to help optimize Client Care and safety

  • Working in consultation with the Nurse Supervisor and Caregiver Supervisor to set and monitor Policies and Procedures to help ensure Employee Safety

  • Development and Implementation of other Operating Policies and Procedures
    of the Agency

  • Managing the Business Affairs and related operations of the Agency

  • Ensuring compliance with Agency Bylaws

  • Developing the Organizational Structure of the Agency including lines of authority and filling required roles and developing an organizational chart showing lines
    of authority.

  • Maintain an ongoing liaison with everyone involved in the Agency i.e., Governing Body, Employees, Clients, Community etc.

  • Working on community outreach initiatives as needed

  • Keeping minutes of meetings and following up on issues identified

  • Soliciting and Reviewing Employment Applications and Evaluating and Hiring Employment in consultation with the Nurse Supervisor and Caregiver Supervisor

  • Employing qualified personnel in accordance with job descriptions

  • Orienting New Employees to the Agency

  • With Nurse Supervisor, providing introductory education programs and continuing education programs for employees

  • Participating in Employee Performance Evaluations

  • Conducting occasional supervision of Employees in consultation with the Nurse Supervisor and Caregiving Supervisors

  • Organizing, Monitoring and Tracking Employees' Continuing Education

  • Developing and Maintaining Records i.e., Employee files, Client Files, Operating Files etc.

  • Orienting Clients to the services of the Agency along with the Nursing Supervisor and Caregiving Supervisor

  • Maintaining personnel, administrative records and all policies and procedures of the Agency

  • Approximately 30% travel mainly to local destinations

  • Continuous consultation with Nurse Supervisor and Caregiving Supervisor and Employees to address concerns

  • Continuously soliciting feedback from Client to assess satisfaction with services

  • Working to Address and Remedy Client Care issues

 

Work Hours:

The Alternate Agency Manager may be required to work a set schedule Monday through Friday and other hours as needed.

Nurse Supervisor and Caregiving Supervisor.
